This position is responsible for providing exceptional administrative support to the Car Audio Engineering team, reporting directly to the Sr. Director of Engineering : Americas and Asia Pacific.
This individual does not have any direct reports.
:Create and manage the contracts, financial approvals, and purchase requisitions related to contract engineering services and capital purchases.
:Write Design Change Notices for engineering releases.
:Coordinate vehicle schedules for acoustic tuning and acoustics engineering lab schedules.
:Work in concert with engineering management to create and maintain dashboards for tracking key metrics (quality, budget, training, etc.) utilizing Jira, Confluence, Excel, and PowerPoint.
:Prepare presentation materials and submit monthly management and financial reports (PowerPoint and Excel).
:Track and report engineering resources for the Americas and Asia Pacific region including organization charts, budget tracking, managing seating, etc.
:Manage/track PC tools licenses/maintenance and capital equipment.
:Point of contact for new hires after leaving orientation to ensure smoot transition into their teams.
:Identify process and tool inefficiencies within the organization, develop proposals for process changes, and document engineering processes.
:Some administrative support:
:Support engineering travel needs by making travel arrangements for the audio engineering management team and preparing expense reports, organizing engineering workshops, supporting visitors coming to Novi.
:Train and mentor administrators in our Mexico R and D office.
:Assist in engineering coordination meetings preparation; booking conference rooms, providing WebEx, videoconference, teleconference and catering support.
:Handle occasional general administrative duties for the department including faxing, copying, scanning, mailings, invoice processing, and reconciliation.
:Maintain the engineering supply cabinet.
:Maintain engineering contact list and email distribution lists.
:Act at point of contact when leaders are traveling.
:Bachelor's degree preferred.
:Prior experience as an Engineering Coordinator, Administrative Assistant, or Office Manager for a senior level team at a global organization for 3 plus years.
:Very proficient in Microsoft Office, especially Excel, PowerPoint, Word, and Outlook.
:Proficient and experienced using web:based database systems.
:Excellent verbal and written communication skills.
:Ability to multi:task and be detail oriented.
:Aptitude for learning and using new software tools.
:Track record of proactivitve initiative to identify and solve problems. This role is expected to seek out opportunities to provide support to the engineering leadership team : such as creating new dashboards, analyzing data, etc.
