Position Summary:
HARMAN is seeking a highly organized, agile and dynamic Executive Assistant who thrives on helping individuals and teams perform with excellence. The individual will have executive level support experience, preferably with a large international company. He/she will support the head of global automotive sales and the head of HR for global automotive sales and global operations. The individual will use advanced office skills and knowledge of organizations policies and procedures to make decisions and requests on behalf of the leaders. He/she will balance multiple priorities and changing demands to manage calendars and conference calls, schedule small and large group meetings, make travel arrangements and prepare expense reports. The individual will support the preparation of budget data, team reports and ensure vendors are established in Purchasing and Financial systems. The individual will prepare communications and presentations for the leaders and manage sensitive information with the utmost discretion.
Supervisory Responsibilities:
This position does not have any direct or indirect reports.
Job Responsibilities:
:Manage travel profiles and travel related documents; expedite passports and visas when necessary; prepare welcome letters and other international entry letters following appropriate guidelines and regulations
:Arrange domestic and international business travel schedules for numerous employees; proactively coordinate the pre:planning of trips with various internal functions while maintaining each individual's personal agenda; monitor travel status and alerts during business trips to make alternate arrangements as necessary
:Prepare travel expense reports and submit on behalf of managers and approve and/or deny reports on behalf of managers
:Prepare internal and external presentations through several refinement cycles into final document form for review by upper management
:Schedule and maintain calendar individual appointments and group meetings; prepare and distribute itineraries and meeting notes
:Prepare and compose basic correspondence, reports, and memorandums with direction from the leaders
:Be a point of contact to the office of the CEO to coordinate CEO visits and C:Suite meetings in Novi; be the point of contact for EVP : President, Connected Car visits to Novi.
:Order supplies and monitor office equipment; oversee budget for costs associated with department related to supplies, office management, employee events, etc.
:Submits reports specific to manager's staff schedules and cost center transactions, maintaining this information on hand for direct communication.
:Set up and maintain file system; carry out routine office procedures, such as photocopying, filing, etc.
:Organize incoming vistor's travel and sustain a relationship between vistor and face of the company.
:Advanced Microsoft PowerPoint, Excel, Word, and Outlook skills.
Basic Qualifications:
:Associate Degree; Bachelor's preferred
:5+ years of related administrative experience
:Experience working with executives in a global organization
:Advanced knowledge of MS Office applications with the ability to create profes
