PMA Consultants, an ENR top 40 CM consulting firm, is seeking a Technical Administrative Assistant in the New York, NY area. A BS degree is required. Administrative Support: Assemble expense reports as needed. Maintain reports, files, and deliverables Maintain internal knowledge; presentations, white papers, book reviews, etc. Maintain clean office environment. Coordinate with building management for all regional offices on office related items such as clean-up, repairs, fire drills and others. Daily collection of mail. Planning and scheduling events, webinars, and conferences; Assist in new hire orientation and other duties and responsibilities as assigned. Invoice and Payments: Collect client timesheets, sign-in sheets and overtime requests from PMA employees on bi-weekly basis and ensure what is reported is consistent with PMA's reporting system Ensure PMA employees complete their client and PMA system timesheets in time by due date. Create invoice submissions that are accurate and submitted to the client on time. Partner with client accounts payable and department administrative assistants Maintain invoice tracking spreadsheet. Marketing Support: Run project reports daily for Marketing Associate. Support Marketing Associate in review/update of marketing information in database to ensure data is updated. Format, review, and edit resumes and documents Work with Directors and above to ensure all business contacts are updated and maintained. Experience and Education: Bachelor's degree or equivalent 3-5 years of experience in office assistance and secretarial work Good writing and grammar skills Exceptional organization, communication, time management skills; Experience with Social Media tools; Self-motivated; High energy, excellent interpersonal skills Power user of Microsoft Word, Excel, Outlook and PowerPoint; Knowledge of Deltek, SugarCRM, and Adobe Live preferred.
