Responsibilities* BASIC FUNCTION AND RESPONSIBILITY The University of Michigan, School of Nursing (UMSN), Office of Undergraduate Studies is seeking an Administrative Assistant Intermediate to provide high-level administrative support to the Associate Dean for Undergraduate Studies and Director of the Undergraduate Program for our undergraduate program, requiring broad and comprehensive experience, skill and knowledge of organizational policies and procedures. This person will perform duties of a sensitive and confidential nature that require discretion and independent judgment and decision-making skills; the ability to work under pressure in a complex environment, multi-task and maintain a calm professional demeanor; as well as manage the administrative support function within the office. CHARACTERISTIC DUTIES AND RESPONSIBILITIES Administrative Support: * Undergraduate Studies - Faculty Orientation: * Update information packet(s). * Schedule, assist in planning, set-up and clean-up of event. * Assist in drafting/finalizing agenda and PowerPoints. * Undergraduate Studies Retreats: * Manage and schedule in advance Fall and Winter retreats (two (2) per academic year). * Schedule, assist in planning, set-up and clean-up of event. * Assist in drafting/finalizing agenda and PowerPoints with administrators. * Facilitate advanced planning for events and communications to students and faculty. * Manage files related to accreditation. * P-Card report processing (monthly or as needed) for the Association Dean and Director. * Manage trackers (fund requests, budget preparation, etc.). * Provide administrative support as assigned for projects, such as curriculum. * Other duties as assigned. Calendar Management: * Act as the single point of contact, proactively managing the Associate Dean and Director coordination of calendars; schedule highly complex meetings and conference calls exercising discretion and judgment to balance competing priorities and demands. Student Issues (Honor Code Violations & Grievances) & Honors Program: * Work with point person for student issues (schedule meetings, etc.). * Manage a tracker of all issues. * Manage paper and digital files for each. * Draft and send (PDF and certified mail via USPS) approved communications to students. * Process Outstanding Project Award: * Send letters to student and faculty award recipients. * Notify Office of Business and Administration regarding student award recipients. * Complete PeoplePay form for faculty award recipient. Annual Faculty Evaluations & Clinical Adjunct Faculty Network (CAFN): * Develop/maintain timeline for CAFN process (January-May) and coordinate all logistics (correspondence, Canvas sites, tracking, etc.). * Send memos as needed. * CAFN meetings (schedule, plan, set-up, clean-up - four (4) per academic year). * Manage documents for and facilitate the new appointment (call for membership and re-appointment) processes. * Manage email groups. Surveys, Data and Reporting: * For the Skyfactor (EBI) Surveys - Undergraduate Program graduates/alumni/employers, ensure UMSN profile is complete; select six (6) US schools for comparison; order package(s) for following academic year before September 1st; file/store report from EBI (PDF and/or binder); for December and May graduates (yearly) and every four (4) years for alumni and employers: * Write and setup outgoing email messages. * Edit survey launch and end dates. * Track number of respondents. * Manage NCLEX Pass Rates reports from Michigan State Board of Nursing. Functional Supervision: * Supervise/mange/train at least one office support staff on/for day-to-day activities; review/approve time; ensure all deadlines are met; conduct annual self-evaluation; and serve as a resource referencing guidelines on policies and procedures. Required Qualifications* NECESSARY QUALIFICATIONS Education and Experience: * A bachelor's degree is required; or equivalent combination of education and experience is necessary. * A minimum of five (5) to eight (8) years of progressively responsible, relevant work experience providing executive-level administrative support to a busy senior executive, preferably in a higher education setting. * Demonstrated experience at the advanced level in the use of Microsoft Office products (Word, PowerPoint, Excel, and Outlook (with both email and calendaring)), and other types of databases. * Proven ability or experience in coordinating complex calendars, schedules, meetings, and travel itineraries is required. * Ability to set priorities, handle multiple assignments and deadlines and display excellent judgment while operating in a flexible and professional manner; strong ability to multitask while remaining focused is essential. * Candidate must have excellent communication skills, with the ability to receive and convey information clearly and concisely for various mediums. Must have very strong interpersonal and organizational skills, and the ability to work effectively with diverse groups. * Proven analytical skills and follow-through; a high degree of creativity, initiative, resourcefulness, and the ability to anticipate needs. Attributes: * Ability to make independent decisions free from immediate direction and within the scope of the positions responsibilities. * A high degree of initiative, resourcefulness, and the ability to anticipate needs. * Comfortable and familiar using various forms of technology - multi-line phone system, photocopier, wireless, conference phones, laptops, projectors, etc. * Professionalism; outstanding attendance record and excellent work ethic. * Must demonstrate diplomacy and tact in communication style. * Excellent phone etiquette and a professional demeanor. * Proven ability to maintain the strictest level of confidentiality and use excellent judgment on a variety of sensitive subjects. * Experience creating and maintaining functional personal and office filing systems (both electronic and hard copy systems). * Experience reconciling P-Cards on M-Pathways (Concur) preferred and/or the ability to learn. * Experience with C-Tools and/or ability to learn. * Working knowledge of applicable University policies and procedures is preferred. Work Schedule Shift/Hours/Days: 8:00 am - 5:00 pm, Monday through Friday; some occasional weekend and evening hours maybe required.
